The Use and Functions of Ms Access Database

Excel is a great storage to organize and store numbers, but Access is much stonger in handling non-numerical data such as descriptions and names. Non-numerical data is used in important role in most of any database, and it is also important to analyze and sort it. Nevertheless, one that really sets the databases apart from the other way to store data is its connectivity. The database that like the one you will work it in Access is a relational database. It can understand about how the objects and the lists within time will relate one to another. To make this idea is simpler; let's use the simple example from a professional baker's database. Usually, the lists of baker's database are about the cookies and the name of people who you want to be given the cookies. Beside those two lists, you want to add the third list, it is about the cookies batches you make and who it is for. Because you only make the specific cookies that you know and the list of people who will be given, this new list will be listed with all of the information from the lists that you have made at first.

 

In excel, you should enter every single thing of the information about the type of cookies or a person who you will give your cookies each time you mentioned about it in your database. It is because the database in Excel will not be relational like in the Access database.It does not same as the Access database where you can put it in much simpler without any repeating mentions. In a simple way, the relational database system is able to recognize what the human can do; if the same words are in the multiple lists, it refers to the same information. This relational database system seems too obvious, and the person who looks at it will understand it directly at that time. However, it is a thing that Excel workbook cannot do it.

 

In fact, the relational database system is able to handle the information in this way to allow you to search for, analyze, and enter the data more than in one table at a single time. All of those things would not be easy to accomplish in Excel; but in Access, this will be more simple even for complicated tasks and it made the fairly user friendly.
