• Microsoft Access Templates Applicant Tracking System for Recruitment Database

This microsoft access database was built as one of employee recruitment templates by access-templates.com. It can be used to track the record candidates or applicants and the desired positions. Human Resource Division can use this template to recruitment management access template and review the candidates. Small business companies who open the recruitment stand in a job fair can use this template for quick candidate entry and free recruitment database access template. The recruitment access template consists of 5 menus:

 

 

CANDIDATES
The menu to recording the details of the candidate and the applicant into recruitment access template. You can see the fields in the picture above. You can upload the candidate resume too. NOTE: it suggested to add the field for desired position and alternative desired position, especially if you open a recruitment in job fair event. The desired position can be a drop down menu with list of vacant positions, or textbox. The desired position will not be same with Position field in Review Progress menu.

UPLOAD VACANT POSITIONS
Menu for uploading the Vacant Position, which the data will be imported to View Position menu.

 

 

The Uploaded Data should be in excel worksheet (.xlsx or .xls). It must contain fields name as the column header. The fields name is corresponding with the fields in View Positions menu, so if you made changes in recruitment access template, make sure the imported spreadsheet is adjusted too. Sample of the excel spreadsheet used to upload the record (you can compare it with the field in View Positions menu):

 

 

There is no export button because the report has provided the record display. However, it is possible to add the export feature. NOTE: You can add new feature to upload the data into Candidate Data and Review Progress menu, using the same method in this menu.

VIEW POSITIONS

 

 

The menu to record the vacant positions, or all positions in the company.
- Position Code or ID.
- Title
- Description: it could be job descriptions, requirements for the position, position type (internships, part-time, freelance, or full time job), and/or salary offer.
Tips: you can add more fields to separate the job descriptions, requirements, type, and salary offer. You can make the description into Long text and bigger field box.
- Valid from and Valid till: the job offer time limits.
Sometimes, company may accept applications for non vacant positions. If you decide to input all position (include the non-vacant one), you can let the Valid fields blank or modify the recruiting access template by adding checkbox to vacant status.
You can add candidate amount field into recruitment access template, because sometimes you may need more than one candidate in one positions.

REVIEW PROGRESS

 

 

The menu to record the recruitment progress and status from stored data in recruitment database access template.
- The Position field taken from the View Position menu.
- Status is the progress where the applications is being processed.
Currently, there are 6 types of status. You can change the values by clicking the drop down menu. Below the menu, there is small square icon. If you click it Edit List dialog box will appear. Modify the value and click OK.
- Status Date is the latest date where the applications is processed and updated.

REPORTS
The menu to display the recorded data in summarized, neater looks. The report is printable, but you may need to customize the design to replace the header with the company name.

 

 

The displayed record is taken from Review Progress menu. Through it not too necessary, you can add filter for neater looks. The filter could be time period, or by the Progress Status. You can create drop down menu to select which positions to be displayed in report. You can use the report as free applicant tracking access template.
