The top fields are contains these fields:
- Report Date: Date/Time, when the Report is generated or submitted (it's not autogenerated).
- Expense Code: string, can be considered as the name of group. An Expense code can be used for multiple employees.
- Start Date: Date/Time. The start period of the report
- End Date: Date/Time. The end period of the report
- Report ID: autogenerated, numeric.
- Employee: lookup field from Employee menus.
- Approver: lookup field from Employee menus, the one who has authority to approve.
- Send: button to send approval request to employee who has authority to approve.
- Business Purpose: string

On the middle, there is subform to record the expenditures in small business:
- Expense Date: Date.
- Title: string
- Category: lookup value. You can change the value by clicking the Edit Icon. The icon will appear below the drop down menu after you clicked it.
- Approved: checkbox for approval.
- Cost: The amount given or reimbursed.
- Total: if you click it, you can switch to see average, max, or min spending.
- Attachment: click to attach corresponding files to the expense, e.g. receipt, bills. To attach a file, simply double click the attachment icon. On the dialog box, click Add and navigate to the file location. You can upload more than one file.
- Approved Totals: autogenerated Total
- Less Cash Advance: the actual expense cost
- Amount Due: autogenerated from subtractions of Approved Totals and Less Cash Advance.

Because there is no login template (which is not the main purpose for business expense tracking software), everyone can tick the approval checkbox. You can integrate or set up the template for login, determining access level and employee roles into expense report software for small business.

- Save and New: Save the current record and generate new blank form.
- Save As Outlook Contact: export the records into outlook contacts.
- Close

GENERAL
The menu for recording the employee personal details. All fields are in string and without validations, which you can set up later. To set up picture, double click the picture. In dialog box, click Add and navigate to the picture database.
